Privacy notice
Last updated 4 October 2026
This notice explains what personal information I collect when you visit fluxmotion.co.uk, contact me, or work with me, and what I do with it.
Who I am
I'm Adrian Rainey, trading as Flux Motion, a sole trader based in Glasgow, Scotland. I'm the data controller for the information described here.
Contact: hello@fluxmotion.co.uk
What I collect and why
| What | Why | Legal basis |
|---|---|---|
| Name, email, company and anything you write when you email me or book a call through Calendly | To reply, scope your project and send a proposal | Legitimate interests (responding to enquiries) |
| Project details, brand assets, billing details, signed contracts | To deliver the work, invoice you and manage the relationship | Contract |
| Invoices, payments and accounting records | To meet my tax and accounting obligations | Legal obligation |
| Business contact details of people I contact directly, such as name, job title, company and work email, from LinkedIn or company websites | To tell relevant companies about my services | Legitimate interests (B2B marketing) |
| Basic site analytics from Google Analytics: pages viewed, approximate location, device type | To see which parts of the site are useful | Legitimate interests |
I don't ask for or intentionally collect sensitive personal information. I don't sell personal information. I don't make decisions about you by automated means.
Cold outreach
If I email you without you contacting me first, it's because your business appears to offer a product I think my work could help. I only contact work addresses, I say who I am, and every email has an easy way to opt out. If you tell me to stop, I add you to a do-not-contact list so I don't email you again. That list holds only your email address.
Who I share it with
I only share information with services I use to run the business. They process it on my instructions.
- Calendly (booking calls)
- Google Workspace (email)
- FreeAgent (invoicing and accounts)
- Google Analytics (site analytics)
- HMRC or other authorities, where the law requires it
Some of these providers are based in the US. Where that applies, transfers rely on the UK–US Data Bridge or the UK International Data Transfer Addendum.
Cookies
This site uses Google Analytics for analytics. It sets cookies called _ga and _ga_ followed by an ID to count visits and see which pages are useful.
When you click through to Calendly, Calendly's own privacy notice and cookie settings apply.
How long I keep it
- Enquiries that don't lead to work: up to 12 months
- Client project files and correspondence: 2 years after the project ends, longer if we have an ongoing retainer
- Invoices and accounting records: as long as HMRC requires, currently at least 5 years after the relevant Self Assessment deadline
- Do-not-contact list: kept so I can honour your request
Your rights
Under UK data protection law you can ask me to:
- tell you what information I hold about you, and give you a copy
- correct anything that's wrong
- delete your information (I may need to keep some records for tax purposes)
- restrict how I use it
- stop using it for marketing, which I'll always do
- give you your information in a portable format, where it applies
Email hello@fluxmotion.co.uk and I'll respond within one month. There's no charge.
If you're unhappy with how I've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I'd appreciate the chance to fix it first.
Changes
If I change this notice, I'll update the date at the top.
